Collect Club Dues Online
A treasurer's guide for student and school clubs: what to charge, how to collect dues with one link, who covers the fees, and how to see who has paid without chasing anyone at meetings.
Start Collecting DuesHow much should club dues be?
Most student clubs charge $15 to $75 a semester. Set the number from the bottom up: add what the club will spend this year that members, not donors, should pay for (shirts, competition entries, supplies, the end-of-year event), divide by the number of members you expect, and round up a little for the members who join late or pay nothing. A club with 25 members and $1,000 of member costs a year lands near $20 a semester.
Fraternity and sorority chapter dues are usually much higher and set by the chapter and its national organization. The same collection method works at any amount.
How to collect club dues online, step by step
1. Check where club money has to live. Many schools require club money to sit in the school's student activity account and to be approved by an adviser or the activities office. Ask before you collect, so the money lands where it is allowed to be spent.
2. Set one page with a payment option per amount. New members, returning members, officers or a family rate can each be a separate payment option on the same page, so every member picks their own line and you never quote amounts by text message.
3. Decide who pays the fees. Dues collected on PayIt2 carry a 2% + $0.99 PayIt2 fee plus Stripe processing (2.9% + $0.30). On $25 dues, the club keeps $22.48 if it absorbs the fees. Or members cover them: they pay $27.64 at checkout and the club receives the full $25.
4. Share one link and track who has paid. Put the link in the club group chat, the announcement and the email to parents. The dashboard shows who has paid and who has not, so the reminder goes only to the members who still owe.
5. Keep it fair for members who cannot pay. Decide your rule before anyone asks: a reduced rate, a sponsor who covers a member quietly, or a waiver the adviser approves. A club that is open to everyone stays open when dues are handled privately.
Dues for school clubs, not membership organizations
This guide is for student and school clubs: academic clubs, teams, honor societies, booster clubs and Greek-life chapters. If you run dues for an adult organization, such as a professional association, a community club or an HOA, see collecting member dues online.
